Synology has announced a major update to its Office Suite that integrates generative AI capabilities into MailPlus, Office and the new AI Console. The aim is to speed up work processes and improve collaboration while maintaining data protection in the private cloud. Particularly interesting: companies retain full control over which AI models are used – and thus avoid risks from unauthorized or insecure AI services.
- Generative AI in MailPlus and Office for faster processing and more precise content
- AI Console for central management of AI models, policies and permissions
- Data protection through de-identification of sensitive data before external processing
- Integration into Synology’s existing private cloud infrastructure
Productivity boost through generative AI
With the integration of generative AI, Synology MailPlus significantly expands its functions: long email histories can be automatically summarized, allowing content to be captured more quickly. The system suggests suitable follow-up actions and enables contextual responses to be formulated at the click of a mouse. Previous messages and drafts are also used to make responses more consistent and professional.
Synology Office also receives an AI boost. Texts can be automatically generated, improved or translated, while spreadsheets create complex formulas using natural language. The AI assistant can also access files in Synology Drive to provide contextual suggestions – for reports, presentations or calculations, for example. This saves time, reduces manual work steps and increases content accuracy.
AI management and security from a single source
A central element of the update is the new Synology AI Console. It serves as a control center for the selection, integration and monitoring of AI models. Companies can specifically release authorized models and restrict their use with the help of token limits and role-based access controls. This prevents the unwanted use of unauthorized AI services and provides full transparency of all processes.
Special attention is paid to data security: sensitive information is automatically anonymized before being transferred to external AI services. This de-identification is based on the defined company guidelines and protects confidential data from unwanted disclosure. In addition, all AI activities are recorded in detailed transaction and admin logs, which facilitates audits and supports compliance requirements.
The combination of private cloud infrastructure and granular management makes it possible to securely integrate generative AI into company processes without having to compromise on data sovereignty.
Private cloud as a strategic advantage
In contrast to purely cloud-based AI solutions, implementation in the Synology environment offers a decisive advantage: the data remains within the company’s own private cloud and is only transferred to external services if it is required for AI processing – and even then in anonymized form. This reduces the risk of so-called shadow AI, where employees use unauthorized AI tools to complete tasks faster, but release company data in an uncontrolled manner.
At the same time, users benefit from the familiar flexibility of the Synology platform: the AI functions can be seamlessly integrated into existing workflows without the need for complex migrations or costly new investments.
Conclusion
With the new AI update for Synology Office Suite, Synology combines increased productivity with a high level of security and data control. The integration with MailPlus, Office and the AI Console offers a powerful but controlled use of generative AI – ideal for anyone working in their private cloud.
The update will be available for download from August 12, 2025 and is available to existing Synology users at no additional cost. Synology is thus making a clear statement: AI yes – but only under your own control.
